How the calculation works
Each year costs twelve months of the monthly price for every user. If you enter an annual increase, the monthly price rises by that percentage at the start of each year after the first, compounding, which is how most price rises are applied at renewal.
The one-time figure is compared exactly as you enter it. A fair comparison includes every cost the one-time route brings over the same period: paid upgrades to new major versions, renewals for anything that needs them, and hardware or setup costs if they differ between the options.
What to include for a fair comparison
A subscription and a one-time licence rarely buy exactly the same thing, so check what each includes before comparing totals.
- Users: count everyone who needs the software, including part-time staff, because most subscriptions are priced per user.
- Billing period: annual plans are often cheaper per month than monthly plans; enter the monthly equivalent of the plan you would actually choose.
- Upgrades: a one-time licence usually covers one major version. Add the cost of the upgrades you expect to buy within the period.
- Services: a subscription may include cloud storage, hosting or support that you would otherwise pay for separately.

Why do the totals grow faster with a price increase?
The increase compounds: each year's price is the previous year's price plus the percentage, so a steady rise has a larger effect over ten years than over three.
