Do You Need Internet for POS Software?

It depends on the system. Cloud POS software generally needs internet for full operation and offers a limited offline mode at best. Local POS software runs on a computer in the shop and keeps selling without internet. Even then, some things, such as online card authorisation, need a connection of their own.

Cloud POS

The business lives on the provider's servers. Many cloud systems can take some sales offline and upload them later, often with restrictions on payment types, refunds or reports until the connection returns.

Local POS

The business lives on a computer in the shop. Selling, stock and reports work with no internet, because nothing depends on a remote server.

Hybrid POS

Tills keep a local copy and synchronise with a central hub or server. Selling continues when the link is lost and the tills merge their sales later.

What always needs a connection

Online card payments are authorised by the card network, so a card terminal needs its own connection, usually through the internet or a mobile network. Some terminals can store transactions offline in limited circumstances, set by the payment provider. Cash sales need no connection in a local POS. Checking sales remotely from home also needs the internet, whichever system you use.

Planning for an outage whichever system you use

Even with a POS that keeps selling offline, a short plan helps staff act calmly when the connection drops. Decide in advance how card payments will be handled if the card terminal cannot connect, whether a mobile data backup will be used, and who checks that offline sales have merged once the connection returns.

When a cloud POS is still a reasonable choice

If the shop has a dependable connection and a mobile backup, trades mostly by card, and values checking sales from anywhere, a cloud POS with a good offline mode may suit. Test the offline mode before relying on it.
